Privacy Policy

This policy describes the information Clutch Stats collects, what we do with it, and your choices. We've tried to keep it readable. Email support@clutchstats.app with any question that isn't covered.

1. What we collect

From coaches and administrators (account holders)

  • Your name and email address (used to sign in and to contact you about the service).
  • Your role within your organization (head coach, assistant, admin).
  • The actions you take inside the platform — evaluations submitted, decisions made, emails sent.
  • Standard server logs (IP address, browser, timestamps) for security and troubleshooting.

From and about candidates and players

Coaches enter the following information about candidates and players on their teams:

  • Name and (where provided) age, primary/secondary position, and a contact email for the candidate or their parent/guardian.
  • Tryout and game performance data — coach ratings, station scores, stat lines, notes.
  • Decisions made by coaches (offer, waitlist, decline) and a candidate's response when they accept or decline an offer via the email link.

Candidates and players do not create accounts. The only direct interaction a candidate has with the service is clicking an Accept or Decline link in a tryout-decision email, which records their response.

2. How we use it

We use the information above to:

  • Operate the platform — sign you in, show you your team's data, send the emails you initiate.
  • Keep the service secure — detect abuse, investigate bugs, prevent unauthorized access.
  • Improve the product — understand which features are used and where coaches get stuck (in aggregate, not by following individuals).
  • Contact you about your account or important service updates.

We do not sell personal information, use it for advertising, or share it with advertising networks.

3. Special note on minors' data

A lot of the candidate and player data on Clutch Stats is about people under 18. We take this seriously:

  • Minors do not create accounts and we do not knowingly collect information directly from minors. Information about a minor is entered by the coaches and administrators of their team.
  • Coaches who use the platform are responsible for obtaining any consent required by law from the minor's parent or guardian before entering their information.
  • Access to a minor's data is restricted to the coaches and administrators of the team they're associated with. We do not share minors' data outside the team scope.
  • If you're a parent or guardian and you'd like to review, correct, or delete your child's information, email support@clutchstats.app and we'll help.

4. Who can see what

Clutch Stats is multi-tenant: every piece of data is scoped to a specific organization and team, and is only visible to the coaches and administrators of that team. Coaches at one organization cannot see another organization's data.

We may access aggregated, non-identifying usage data to improve the product, and a small number of our team members may access account data when investigating a bug or a security issue — only as needed and under access controls.

5. Service providers

We use a small number of vendors to operate the service. They only process data on our behalf and under contractual obligations consistent with this policy:

  • Railway — application hosting and managed Postgres.
  • Resend — sending transactional emails (account invitations and tryout-decision emails).

6. How long we keep things

We keep account and team data for as long as your organization is actively using the service. If you ask us to delete your account or your team's data (see "Your choices" below), we'll do so within a reasonable timeframe, subject to limited exceptions for security logs and legal compliance.

7. Security

Data is encrypted in transit (HTTPS everywhere) and at rest on our hosting provider. Passwords are stored as salted hashes, never as plain text. We're a small team and we don't have a SOC 2 report yet — that's on the post-beta roadmap. If you discover a security issue, please email support@clutchstats.app with details.

8. Cookies

Clutch Stats uses two cookies to keep you signed in (a short-lived access cookie and a longer-lived refresh cookie). Both are HttpOnly, Secure, and same-site. We don't use cookies for advertising or third-party analytics tracking.

9. Your choices

  • Access or correct your data — sign in and edit it directly, or email us if something isn't editable.
  • Delete your account — email support@clutchstats.app and we'll delete your account and your team's data.
  • Stop receiving emails — operational emails about your account come with the service; tryout decision emails come from your coach (not from us directly) and you should contact the coach to stop receiving them.

10. Changes to this policy

We'll update this page when this policy changes in any meaningful way and update the "Last updated" date at the top. For changes that materially affect your rights, we'll also notify active accounts by email.
